Your Role
A highly organized team player who will be responsible for overseeing the day-to-day operations of the office and ensuring that the facilities are well-maintained and running smoothly. This role requires a proactive individual who can handle multiple tasks simultaneously and has a strong understanding of office management and facility maintenance. The successful candidate will have excellent organizational and communication skills, a keen eye for detail, and the ability to work independently as well as part of the team.

Your Impact

  • Oversee daily office operations and ensure proper functioning of office utilities and services.
  • Coordinate maintenance and repair of office equipment and facilities.
  • Liaise with vendors and service providers for office and facility needs.
  • Coordinate with the building management and contractors for any facilities-related issues.
  • Monitor and manage office cleaning and maintenance services.
  • Monitor and manage all admin/facilities-related inventories to ensure continuous replenishment of supplies and place orders when necessary.
  • Assist with the budget preparation and track expenditures.
  • Assist with travel arrangements and accommodations of visitors.
  • Ensure the food concessionaire, Grab N Go snack bar, and coffee vending machine have enough supplies and request a refill when necessary.
  • Prepare a gate pass for the delivery and pull-out of items, including the work permit service request of the third-party providers.
  • Ensure a safe and clean work environment in compliance with health and safety regulations.
  • Coordinate office layout and space management in compliance with the Occupational Safety and Health (OSH) and Philippine Economic Zone Authority (PEZA) standards.
  • Manage incoming and outgoing mail and courier services.
  • Manage and monitor office space assignments and seating arrangements.
  • Manage and monitor company assets such as pedestals, lockers, and office chairs.
  • Manage visitors/applicants’ access and provide assistance onsite.
  • Coordination with the People Team regarding accidents, incidents, and implementing corrective actions, such as coordination with emergency services.
  • Coordinate office communications from drafting up to sending out (e.g. internal announcement).
  • Provide assistance on employee engagement activities from planning, coordination, and execution.
  • Oversees and responds to Facilities Helpdesk tickets.
  • Provide general administrative support to staff and management.
  • Contribute to team effort by assisting with special projects as needed.

Your Experience

  • Willing to work onsite in BGC and on the night shift
  • With 1-2 years of experience as an Office and Facilities Administrator or similar role, ideally in a Multinational organization
  • Strong organizational and multitasking skills
  • Excellent in written and verbal communication and interpersonal abilities
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Familiarity with health and safety regulations
  • Ability to work independently and as part of a team
